MIGRATING SCHEDULE+ CALENDARS, PERSONAL ADDRESS BOOKS, AND PERSONAL FOLDERS, TO YOUR NEW CONNECTIONS WORKSTATION

With the installation of your new CONNECTIONS workstation you migrate from using Microsoft Exchange and Microsoft Schedule+ for your email and calendaring to using Microsoft Outlook 2000 for both. To have access to your old calendar information, your personal address book, and your Microsoft Exchange Personal Folders you must make Outlook 2000 aware of them, either directly or by importing the information.

This process requires saving or creating this information from your old CONNECTIONS workstation onto your H: drive.

Microsoft Schedule+ Calendar

Saving Your Microsoft Schedule+ Calendar

The following steps must be performed on your old CONNECTIONS workstation while logged in with your NYSDSSALB or NYSDSSNYC Userid.

If you keep your Microsoft Schedule+ data only on the Microsoft Exchange server, and do not keep a copy on your workstation or H: drive, you are going to create a copy of the Schedule+ file on your H: drive.

  1. Start Microsoft Schedule+.
  2. On the Tools menu, click Options.
  3. Click the Synchronize tab, click Work primarily from local file, and then click OK.
  4. In the Drives pull down select the H: drive icon and scroll through the resulting until you see your Userid in the list then double-click on your Userid (folder).
  5. Type a name for the Schedule+ file in the File name box in the format <Your Userid>.scd (e.g., ABC123.scd - if your Userid is ABC123).
  6. Click on the OK button. [If a dialog box is displayed that states the file already exists do you want to replace it - click Yes.]

If you keep your Microsoft Schedule+ data in a file on your workstation or your H: drive you are going to backup this information to your H: drive.

  1. Start Microsoft Schedule+.
  2. On the File menu, click Backup.
  3. In the Drives pull down select the H: drive icon and scroll through the resulting until you see your Userid in the list then double-click on your Userid (folder).
  4. Type a name for the Schedule+ file in the File name box in the format <Your Userid>.scd (e.g., ABC123.scd - if your Userid is ABC123).
  5. Click on the OK button. [If a dialog box is displayed that states the file already exists do you want to replace it - click Yes.]

Importing Your Microsoft Schedule+ Calendar into the Outlook 2000 Calendar

Now that you have saved your Schedule+ calendar to your H: drive you will need to make it available to Outlook 2000 on your new workstation.

The following steps must be performed on your new CONNECTIONS workstation while logged in with your NYSDSSALB or NYSDSSNYC Userid.

  1. Start Outlook 2000.
  2. On the File menu click on the Import and Export item.
  3. Select Import from another program or file and click Next>.
  4. Select Schedule+ 7.0 and click Next>.
    NOTE: If a message box with the heading Translation Error is displayed, click the OK button and contact your LAN Administrator who will have to provide you with additional rights to restart this operation.
  5. Click on the Browse button to find the copy of your Schedule+ Calendar you saved to your H: drive in the File to Import field. [This would be at H:\<Your Userid>\<Your Userid>.scd (e.g., H:\ABC123\ABC123.scd for a user with the Userid of ABC123.]
  6. Select the file indicated above, select Do not import duplicate items, and click Next>.
  7. Verify the information (decide if you want to import Contacts, and Tasks, in addition to Appointments; if not un-check the Contact and/or Tasks). DO NOT uncheck appointments (as this is your calendar information) and click Finish.
  8. A progress bar will display and will disappear when completed. [A dialog box may appear that states that 'You have Schedule+ information stored on the server…do you want to delete it now'. Click Yes and then verify the appointments added in your Outlook 2000 Calendar folder.

Personal Address Book

Saving Your Personal Address Book

Your Personal Address book may have been saved as part of the Migrating Your Data procedure. Wherever you may be storing the Personal Address Book the intent is for you to have a copy available on your H: drive for import into the Outlook 2000 Contact List on your new workstation.

The Personal Address Books may have been stored on the hard drive of your old CONNECTIONS workstation (most likely at:

C:\DATA\EXCHANGE\<Your Userid>.pab (e.g., C:\DATA\EXCHANGE\ABC123.pab for a user with the Userid of ABC123.), or it may have been stored on your H: drive at:

H:\<Your Userid>\<Your Userid>.pab (e.g., H:\ABC123\ABC123.pab for a user with the Userid of ABC123.

Regardless, ensure that you end up with the most recent version of your Personal Address Book at the H: drive location named and as stated above.

The saving process must be performed on your old CONNECTIONS workstation while logged in with your NYSDSSALB or NYSDSSNYC Userid.

Importing Your Personal Address Book Into Outlook 2000 Contacts

Now that you have saved your Personal Address Book to your H: drive you will need to make it available to Outlook 2000 on your new workstation.

The following steps must be performed on your new CONNECTIONS workstation for each Personal Address Books that you may have.

  1. Start Outlook 2000.
  2. On the File menu click on the Import and Export item.
  3. Select Import from another program or file and click Next>.
  4. Select Personal Address Book and click Next>.
    NOTE: If a message box with the heading Translation Error is displayed, click the OK button and contact your LAN Administrator who will have to provide you with additional rights to restart this operation.
  5. Click on the Browse button to find your personal address book in the File to Import field. . [This would be at H:\<Your Userid>\<Your Userid>.pab (e.g., H:\ABC123\ABC123.pab for a user with the Userid of ABC123.]
  6. Select the file indicated above and click Next>.
  7. Verify the information and click Finish.
  8. A progress bar will display and disappear when completed.
  9. Verify the contacts added in your Outlook 2000 Contacts folder.

Microsoft Exchange Personal Folders

Saving Your Personal Folders

Your Personal Folders may have been saved as part of the Migrating Your Data procedure. Wherever you may be storing these Personal Folders the intent is for you to have a copy available on your H: drive for use by Outlook 2000 on your new workstation.

The Personal Folders may have been stored on the hard drive of your old CONNECTIONS workstation (most likely at:

C:\DATA\EXCHANGE\<Your Userid>.pst (e.g., C:\DATA\EXCHANGE\ABC123.pst for a user with the Userid of ABC123.), or it may have been stored on your H: drive at:

H:\<Your Userid>\<Your Userid>.pst (e.g., H:\ABC123\ABC123.pst for a user with the Userid of ABC123.

Regardless, ensure that you end up with the most recent version of your Personal Folder files at the H: drive location named and as stated above.

The saving process must be performed on your old CONNECTIONS workstation while logged in with your NYSDSSALB or NYSDSSNYC Userid.

Importing Your Personal Folders Into Outlook 2000

Now that you have saved your Personal Folder(s) to your H: drive you will need to make them available to Outlook 2000 on your new workstation. Where the other items like the Schedule+ information or Personal Address Books discussed above required you to import the information into Outlook 2000, the easiest way to make Personal Folders available to Outlook 2000 is to point your profile on your new workstation to those folders.

The following steps must be performed on your new CONNECTIONS workstation for each Personal Folder that you may have while logged in with your NYSDSSALB or NYSDSSNYC Userid.

  1. Start Outlook 2000.
  2. On the Tools menu click on the Services item.
  3. Click the Add button.
  4. Select Personal Folders from the list and click OK.
  5. In the Create/Open Personal Folders File find your Personal Folder on your H: drive (this would be at H:\<Your Userid>\<Your Userid>.pst (e.g., H:\ABC123\ABC123.pst for a user with the Userid of ABC123.]
  6. Select the file indicated above and click Open.
  7. Check the Allow upgrade to larger tables checkbox and click OK.
  8. Click the OK button and the Personal Folder is available in Outlook 2000.
